Notifications and Reports

Notifications brings your updates and review requests into one inbox. Each card explains what changed, whether something needs doing, and where to go next. The record you open remains the place to confirm the current state.

Start with the right view

Use All updates for recent activity, Unread for new items, Action needed for unfinished work, or Urgent for higher-priority attention. The workflow filter narrows the list further. Pagination lets you move through the list and choose how many cards to show.

Only notifications appropriate to your account and permitted responsibilities are shown. A reviewer and an applicant can see different messages about the same request. Opening a notice does not give access to another person's records or to a community you cannot manage.

What the red dots mean

Opening a section with a dot shows What's new here, with the relevant cards. You should not have to guess which record caused the indicator. An informational card can remain visible after being marked seen so you can finish reading its explanation.

Cards that remain visibly on screen are acknowledged automatically. Offscreen cards, unopened pages, and a hidden browser tab are not treated as read just because the inbox was loaded. Mark read handles one card; Mark this page read explicitly acknowledges the current page, not every page in the inbox.

Seen does not mean approved

Reading a request does not approve it, change a role, restore an item, or activate a subscription. An action card can say Seen · Still pending until the relevant decision has been made.

Example: A reviewer opens a new role request. Its unread indicator clears, but the account-review section still has a dot because a decision is required. The reviewer follows Review item and completes the permitted action. Once the updated status is reflected, that action no longer keeps the dot active.

For an informational decision notice, reading is enough. If the applicant has no further action, its section dot clears without asking them to approve anything again.

Follow the next step

Use Review item or Open update to reach the relevant request, report, Castle assignment, Knowledge item, or subscription conversation. Review work is reached directly from its notification or owning area; a separate general Moderation landing page is no longer needed.

The inbox contains recent updates and pending work, not an unlimited historical archive. Older history remains in each workflow. A schedule-change notice is a prompt to check the latest published time, not authority to rely on an older appointment.

Online activity

Eligible staff can see an Online tab. It lists recently active authenticated accounts with pagination. "Online" means activity within the last five minutes, not proof that someone is currently watching a page. The list is bounded to the 200 most recently active accounts and is not a public visitor directory.

If an indicator looks stuck

Open the section and read its explanation. Check Action needed for unfinished work before assuming the dot is wrong. If only information remains, let the visible cards acknowledge or use Mark read. If acknowledgement fails, use the shown refresh or retry action.

After completing a request, verify its actual status. A completed privacy request should not remain pending merely because it was fulfilled. If the indicator still disagrees, report the workflow, visible status, and approximate time without sharing private messages, exports, or another user's details.
